Booking Rescheduled Email — Free Appointment Change Notice Template

Booking Rescheduled Email tells someone their appointment has moved, and makes it impossible to turn up at the old time. Change notices fail when the new time is buried in a paragraph, or when the old and new times look the same. This template puts the two side by side, with the old one crossed out, and lets the customer accept or change the new slot in one tap.
Was and now, one above the other
The heart of the email is a two-part card. The top half is grey with a "Was" pill and the old date and time struck through; the bottom half is filled with your brand colour, with a "Now" pill, the new date and time in large type and the length of the appointment. Even someone who only glances at a phone notification sees the right time.
Say who changed it, and why
A short line under the card explains the change: who made it (your team, the provider or the customer) and the reason. An honest reason, such as a practitioner on a training course, does more for trust than a vague "due to unforeseen circumstances".
One button, two quiet links
"Keep the new time" is the main button, so confirming takes one tap and you know the slot is safe. Next to it sit "Pick another time" for anyone the new slot does not suit, and "Update my calendar", which should point to an .ics file with the same event UID so most calendars replace the old entry instead of adding a second one.
Everything else stays the same
An optional details box repeats the service, provider, location and booking reference under the heading "Everything else stays the same", which answers the follow-up question before it is asked. Copy the HTML into your booking system or transactional sender; it needs no unsubscribe link. Send the original with the Booking Confirmation template and the day-before nudge with the Appointment Reminder.

Take This Email Further With AI
Give this prompt to an AI assistant to write your own version of the Booking Rescheduled Email email: draft ten subject lines and preheaders, adapt the copy for a customer segment, translate it, convert it to MJML or React Email, or write the plain-text version. Then paste the result back into the editor above to check it in desktop, mobile and dark mode.
Prompt to recreate it
Copy this into your AI assistant of choice to build the effect from scratch, or as a jumping-off point for your own variant:
Create a responsive HTML email: “Booking Rescheduled Email”, a transactional email.
Purpose: A booking change notice that is impossible to misread: the old date and time struck through above the new one in a highlighted card, who moved it and why, what stays the same (service, provider, location), a "Keep the new time" button, a "Pick another time" link and an updated calendar link.
Inbox text:
- Subject line: “Your consultation has moved to Tue, Nov 17 at 11:00 AM”
- Preheader (hidden preview text): “Dr. Okafor had to change your appointment. Keep the new time or pick another in one click.”
Content, top to bottom:
- Message & buttons
- Old and new time
- What stays the same
Headline: “Your appointment has a new time”. Main button: “Keep the new time”.
Put the key facts first (order or account details, amounts, dates) in a clear summary, with no marketing clutter.
Build it like a professional email developer:
- Table-based layout, 600px wide on desktop and fluid on mobile (width 100%, max-width 600px).
- Inline CSS on every element, with one small style block only for media queries and dark mode (prefers-color-scheme).
- A bulletproof, Outlook-safe call-to-action button (padded table cell with a VML fallback), never an image.
- Colours: brand and button #7c3aed, button text #ffffff, page background #f1eff8. Web-safe font stack with a fallback after the brand font.
- Every image has alt text and explicit width and height. Use PNG icons, never SVG, because Gmail and Outlook drop them.
- Hidden preheader text, a plain-text version, and a legal footer with the postal address, the reason the person is receiving it and a working unsubscribe link.
Finish with a short checklist of what to test in Gmail, Outlook for Windows, Apple Mail, mobile and dark mode.Want to tighten it up first? The old time and the new time, clearly distinguished, who made the change and why, what stays the same (service, provider, location), a way to confirm the new slot and a way to choose another. Apologise briefly if you made the change.
Link "Update my calendar" to an .ics file that uses the same UID as the original booking with a higher SEQUENCE number. Most calendar apps then update the existing event rather than adding a duplicate.
It is designed for a new time. For a cancellation, rewrite the headline, clear the new-time fields so only the struck-through old time remains, and change the button to "Book a new time". A dedicated cancellation template is on our list.
It helps. A confirm button tells you the customer has seen the change and still plans to come, which reduces no-shows. If no one confirms within a day, follow up with a call or a reminder.
Yes. It updates a booking the customer already made, so it does not need an unsubscribe link under US CAN-SPAM. Keep it free of promotions and send it from the same address as your booking confirmations.
It saves an editable copy of your Booking Rescheduled Email in My Code, the UI Snippets code editor: the email markup goes in the HTML panel and its CSS (mobile and dark-mode rules plus fonts) in the CSS panel, so you can keep refining the code and save your own versions.
Yes. It is free for personal and commercial email, with no sign-up and no watermark. Everything runs in your browser, and your edits are saved locally.
