About this template

Order Cancellation Email — Free Cancelled Order Template for Stores

Order Cancellation Email template: A clear "your order has been cancelled" email for stores: a cancelled stamp with the order number, who cancelled it and why (customer request, out of stock, payment or address problem), the cancelled items with prices struck through, a refund summary with the amount, card and how long it takes, a "Shop again" button and a support line.

Order Cancellation Email confirms that an order will not be shipped and explains what happens to the money. Whether the customer asked, an item went out of stock, a payment failed or an address could not be verified, the questions are the same: is it definitely cancelled, which items, and when do I get my refund? This template answers each one in that order.

A stamp you cannot miss

The top of the card has a bordered "Cancelled" stamp on the left and the order number and order date on the right, so the status and which order it is are both clear before the headline. The headline and intro then confirm the cancellation in plain words and promise there is nothing to pay.

Who cancelled it, and why

A single information line says who cancelled the order and when, such as "Cancelled at your request on October 18 at 9:05 AM", or "Cancelled because the Ceramic Pour-Over Set is out of stock". Being specific is what stops a customer contacting support to ask why.

Items with their prices crossed out

Up to three items are listed with their variant and quantity, and the prices are struck through, a small visual cue that none of it will be charged. It mirrors the layout of the Order Confirmation so customers recognise the same order.

The refund in one box

A green refund panel shows the amount in large type, the card or account it is going back to, how long it usually takes, and an optional refund reference for bank enquiries. If nothing was charged, switch the refund box off.

A way back

"Shop again" brings the customer back to the store, and the closing note offers to restore an accidental cancellation within 24 hours. Paste it into Shopify's order cancelled notification (replacing the sample values with Liquid variables), WooCommerce, Klaviyo or your own code. It is transactional. When the money lands, the Refund Confirmation template can confirm it.

text
Create a responsive HTML email: “Order Cancellation Email”, an e-commerce email.

Purpose: A clear "your order has been cancelled" email for stores: a cancelled stamp with the order number, who cancelled it and why (customer request, out of stock, payment or address problem), the cancelled items with prices struck through, a refund summary with the amount, card and how long it takes, a "Shop again" button and a support line.

Inbox text:
- Subject line: “Order #10482 has been cancelled”
- Preheader (hidden preview text): “As requested, your order is cancelled. $122.76 is on its way back to your Visa ending 4242.”

Content, top to bottom:
- Message & button
- Cancelled items (leave a name empty to hide it)
- Refund

Headline: “Your order has been cancelled”. Main button: “Shop again”.
Show products with an image, name and price in a grid that stacks on mobile, and make the button the most visible element.

Build it like a professional email developer:
- Table-based layout, 600px wide on desktop and fluid on mobile (width 100%, max-width 600px).
- Inline CSS on every element, with one small style block only for media queries and dark mode (prefers-color-scheme).
- A bulletproof, Outlook-safe call-to-action button (padded table cell with a VML fallback), never an image.
- Colours: brand and button #be123c, button text #ffffff, page background #f5eef0. Web-safe font stack with a fallback after the brand font.
- Every image has alt text and explicit width and height. Use PNG icons, never SVG, because Gmail and Outlook drop them.
- Hidden preheader text, a plain-text version, and a legal footer with the postal address, the reason the person is receiving it and a working unsubscribe link.

Finish with a short checklist of what to test in Gmail, Outlook for Windows, Apple Mail, mobile and dark mode.

In Shopify admin go to Settings, then Notifications, then Order cancelled. Replace the code with this HTML and swap the sample values for Liquid variables such as {{ order.name }}, the line items loop and the refund total.

Switch off the Refund section and change the intro to say no payment was taken. The rest of the email (stamp, items and Shop again button) works the same way.

Name the item, apologise, confirm the refund and, if you can, link to a similar product or a back-in-stock alert. Customers are much more forgiving when they know exactly what happened.

Yes. It confirms a change to an order and a refund, so it does not need an unsubscribe link under US CAN-SPAM. Keep product promotions out of it; the Shop again button is fine.

It saves an editable copy of your Order Cancellation Email in My Code, the UI Snippets code editor: the email markup goes in the HTML panel and its CSS (mobile and dark-mode rules plus fonts) in the CSS panel, so you can keep refining the code and save your own versions.
